Early morning — arrive & load in

Mid-morning — line check & presenter rehearsal

Every wireless mic, lavalier, podium mic, and DI tested at performance level. Speakers rehearse their walk-on, their slides click, and their mic technique. Catching problems before the room fills.

Lunch — run-of-show walkthrough

Full run-of-show with the project manager, the emcee, the AV team, and the venue coordinator. Cue-by-cue: intros, panels, video roll-ins, awards, transitions, and contingency plans.

Show — full production, all hands

Why is your quote a day rate and not an hourly rate?

Corporate event audio production in DFW doesn't run on the clock — it runs on the show. Day-rate pricing covers the load-in, the rehearsal, the show, and the strike as one block. We've found hourly billing creates an incentive to rush strike or skip contingency planning; day-rate lets us staff the day the way the day actually needs to be staffed.

What does a hybrid event actually add to the quote?

Two things: a streaming tech who runs the encoder and the switcher for the duration of the show, and a backup internet connection (bonded LTE or a secondary hardline) so the remote feed doesn't drop if the venue WiFi hiccups. Cameras and switcher can be added a la carte or bundled with the AV package. Happy to walk through what your specific hybrid format needs in the proposal.

Can we use the venue's in-house AV instead of bringing our own crew?

Sometimes — and we'll tell you when. For smaller events where the venue's in-house AV is current-generation and the room layout is straightforward, working with the house team can save money. For keynotes with 4+ presenters, hybrid streaming, or events with awards / product reveals, an outside crew usually means cleaner audio, better cue-following, and one accountable point of contact instead of a venue staff juggling multiple events.

Do we really need a rehearsal day, or can we rehearse the morning of?

Depends on the show. For a single-speaker keynote with no slides and no video, a morning-of line check is enough. For multi-presenter conferences with panels, video roll-ins, awards, and hybrid streaming, a dedicated rehearsal the day before is the difference between a clean show and a show where every transition runs long. We'll flag this in the proposal based on your run-of-show.

How do you handle last-minute run-of-show changes?

That's the normal state of corporate events, not an exception. The project manager owns the run-of-show document and updates it in real time as the schedule shifts. Cue changes get pushed to the engineer, lighting op, and video op before they hit the stage — not during the show. We build a 30-minute contingency buffer into every run-of-show so a speaker running long doesn't cascade.
